Important: Credit Awarding Update

To ease the burden of requiring a credit-awarding high school to assign credit on their transcript for coursework completed elsewhere through an approved non-credit awarding school or program, a change has been made to the Eligibility Center’s credit-awarding policy. Beginning with this certification cycle, credit may be awarded to core courses completed at an approved non-credit awarding school or program so long as that school or program provides a transcript or grade report that supports the course name and grade.

As in the past, grade reports or transcripts from non-credit awarding programs may be submitted by email to
ec-processing@ncaa.org or faxed to 317-968-5100. Approved non-credit awarding programs may also upload transcripts directly to a student account so long as the program is included in the student’s registration. Uploading generally results in the document being immediately viewable, while documents emailed, faxed, mailed or submitted via an approved electronic transcript provider are subject to mail processing time and a review process that can take up to five business days.

Important! The amount of credit awarded will be the recommended credit noted on the non-credit awarding program’s transcript or grade report. If no recommended credit is noted, the Eligibility Center will award 0.5 unit of credit for each approved core course—unless the course appears on a transcript from an approved credit-awarding high school. If so, the amount of credit awarded by the high school will be used. Please note we are in the process of updating the “additional information” boxes for known approved non-credit awarding programs.

s updated Guide to International Academic Standards for Athletics Eligibility. We are pleased to report the 2018-19 guide is in the final stages of completion, and hope to provide a date of availability by year-end. The redesign and improved formatting of the guide will be worth the wait!

Mid-Year Enrollees

To ensure mid-year enrollee certifications are completed in time for the start of the semester, please encourage prospective student-athletes to provide test scores and transcripts from all high schools attended as soon as possible once they have graduated.

As a reminder, cases will be Ready-to-Process-Final” once a final official transcript with proof of graduation is received. Should a high school be unable to notate proof of graduation on the final transcript of a mid-year graduate, the high school may provide verification of the date of graduation in letter format. Proof of graduation by letter must be on school letterhead and must be signed by a high school administrator. Individual letters for each student are required and should include the actual date (month, day, year) the student met graduation requirements. High schools may submit letters directly to the Eligibility Center via email at ec-processing@ncaa.org or by fax at 317-968-5100. Click here for additional information about acceptable transcripts and proof of graduation.

Please note: Mid-year enrollees should be on the 2017-2018 IRL cycle and, if first-time enrollees, should register with a winter/spring 2018 enrollment period.

Division II Reminders

Under Division II Bylaw 14.2.4.2.1.1.2, if an individual is required to repeat an entire year of high school attendance, he or she becomes a member of that class and the date of graduation for the individual is the expected date of that class. This may come into play in relation to delayed enrollment concerns. In cases where a statement of facts has been presented, should you wish to assert that the repeated year was required, documentation and rationale from the high school explaining the decision to repeat the year must be submitted. This information should be sent to acp-processing@ncaa.org for initial review. If necessary, Academic and Membership Affairs may be asked to review for interpretation purposes.

In cases already decided without review of this documentation, institutions may still submit the documentation to acp-processing@ncaa.org.
