Understanding Matriculation Dates and Expedited Reviews

As you work with your spring recruits’ accounts, you may need to submit a matriculation date or request an expedited review. Here’s a few things to know prior to either process.
 

Need to Submit a Matriculation Date?

In some instances, the Eligibility Center may request your Division III school declares a student’s initial full-time enrollment at any institution of higher education (NCAA, NAIA, two-year institutions and international colleges/universities) for the amateurism review process. This is known as the “matriculation date” or a “matriculation letter.”

Assigning the “Enrollment Verification Document Needed” task to a student’s account is a clear signal that you should submit the date of initial full-time enrollment. This information is submitted via the “Matriculation Letter” option in the Resource dropdown on the Membership Portal.
Before submitting the date via the Membership Portal, please verify the student's date of initial full-time enrollment by following any established policy in place on your campus, which may include seeking confirmation from your admissions/registrar’s office. 
 

Need to Submit an Expedited Amateurism Review?

The EC uses a 10 business-day service standard for processing amateurism reviews once an account reaches a “Ready to Process-Final” status. To reach a “Ready to Process-Final” status, your student’s certification account must:
  • Be activated to your school’s IRL.
  • Have a request for final amateurism certification on file (after final updates to the student’s Sports Questions section of their account are complete).
  • Include a date entered in the Task Complete Date column in their Student Task list (located in the PSA Detail Report) for all amateurism-related tasks. (Assigned tasks may include the “Enrollment Verification Document Needed” task, as described in the article above.)
However, when upcoming competition, travel to competition, or other imminent campus deadlines are approaching, you may consider submitting an account that is in “Ready to Process-Final” status for an urgent amateurism certification request to help expedite the amateurism review.
Before making this request, ensure 1) the student’s account has the correct enrollment period, which should reflect the term of initial full-time enrollment at any NCAA school, and 2) the student has responded to all questions in the Sports Questions section of their account.

On submission of the urgent amateurism certification request, EC staff will begin the review within 1-2 business days. Keep in mind that additional amateurism-related tasks could be assigned that require additional responses; your student will need to respond to those tasks as quickly as possible.

Submission of Academic Documents COVID Policy Sunsetting April 30, 2024

As a reminder, official academic records may be required for amateurism certifications. If only unofficial records are available for students who initially enroll full time in the 2023-24 academic year, they may be submitted to ec-processing@ncaa.org directly from the email address associated with the student’s EC account and should include the student’s NCAA ID in the subject line.
Note: This policy will expire as of April 30, 2024. Starting May 1, 2024, official academic records will be required and must be submitted via an approved channel for domestic or international students.
