Welcome Back!

A Letter from Mike Massa, NCAA EC Managing Director of External Affairs

Hello, Compliance Community!
Whether you have been at this for a number of years or maybe just getting started, the beginning of a new academic year is always energizing with new possibilities and opportunities, but yeesh, is it busy 😊. We know that is especially true this year with all of the moving parts in college athletics generally layered on top of the forms to complete, incoming questions, educational sessions, and other responsibilities you are managing on campus.
To that end, know that our team is available to help with student-specific or more policy-level questions as needed (dedicated membership line 877-544-2950 or email us at ecinfo@ncaa.org). We are also continually looking for ways to deliver more proactive support to help focus your valuable time on the initial-eligibility reviews that need some assistance and for opportunities to make system-wide improvements to help make working with us easier. Our suggestion box is always open via the Contact tab on the EC Membership Portal, or feel free to send ideas in via the email/phone channels.  You are well represented by your peers on our membership advisory groups, so please also reach out to them to talk through ideas, brainstorm suggestions or share feedback.

On behalf of Regulatory Affairs Executive Vice President Stan Wilcox and the entire EC staff, we hope you have a great year on campus and look forward to our continued partnership as we serve our student-athletes. Thanks for all you do!

2023-24 Guide for the College-Bound Student-Athlete

Now Available!

The 2023-24 Guide for the College-Bound Student-Athlete is now available for download! The guide is designed to assist your recruits with understanding the NCAA, NCAA Eligibility Center registration and academic requirements, and how you can help your student-athletes work toward their collegiate dreams. This booklet is a great resource to share with your student-athletes and their families! The PDF version is available via the Membership Portal's Resources page or click here to download.

Note: The printed version will be available for ordering from NCAA Publications in late August. All orders received for the printed version of the guide will be fulfilled at that time.

Automatic Waiver Overview

Given the removal of standardized test scores from initial-eligibility requirements, the Eligibility Center is no longer considering test scores during the certification or initial-eligibility waiver process (including automatic waivers). Consistent with legislation, the automatic waiver available to students enrolling in the 2023-24 academic year is the core units/GPA automatic waiver. For additional details about this automatic waiver, please review the Initial Eligibility FAQ for the 2023-24 Academic Year and Beyond resource.

Urgent Request Program

The Eligibility Center's service standard for academic certifications is 10 business days for fall 2023 and winter/spring 2024 enrollees once the account becomes ready to process, meaning all transcripts have been received and all assigned academic tasks are closed. As travel to competition begins, last-minute roster changes may occur that require an immediate academic certification . Please review the Academic Certification Request Program resource before submitting an urgent academic certification request. Once the request is made, please closely monitor the account for additonal updates.

For expedited amateurism reviews, an urgent amateurism certification request may be submitted once the account is final ready to process for the amateurism review, meaning the student has requested final amateurism certification after responding to all sports participation questions and all amateurism-related tasks are closed. The review will begin within two business days of the request. Once the request is made, please closely monitor the account for additional updates, including additional amateurism-related tasks that may be assigned during the review.

For situations where an immediate request is needed but the account is not ready to process, we encourage you to reach out to the customer service staff at 877-544-2950 or by email at ecinfo@ncaa.org for further assistance.

NCAA Eligibility Center Requirements and Process: A Webinar for New Compliance Administrators

Register Today!

On Wednesday, August 23, 2-3p.m. Eastern time, the Eligibility Center will host a webinar on the initial-eligibility process and how to use the Membership Portal. Mark your calendars now for this live, interactive event! This top-level overview of the initial-eligibility process and what's required of compliance administrators will be especially valuable for those new to their compliance role. Click here to register. We look forward to seeing you on August 23!

Reminder on Running Open Task Reports

To actively monitor needs for active accounts, utilize both the Search Student Details Report and the Additional Reports options in the Membership Portal. For example, the Open Tasks Report – Action Required report will help you identify accounts that need matriculation letters (Enrollment Verification Document Needed task), or which have been assigned other important amateurism-related tasks. Once you run the report, you can sort by task type. The Open Tasks Report – All option can also help you identify accounts with open academic, amateurism and informational tasks to help you determine which students need to respond to those open tasks.

New! Duplicative Account Registration Restriction

On August 3, the Eligibility Center adjusted the registration process to restrict a student’s ability to create more than one account. This update will prevent the creation of duplicate accounts based on matching their name and date of birth at the point of registration. If the registrant has a pre-existing account, they will be notified an account has already been created with that information, along with directions to regain access to their account.

Non-English Resources

The Eligibility Center has translated certain resources into French, German, Portuguese and Spanish. To see those translated resources, click here. The Eligibility Center is planning additional translations. Watch for updates in future newsletters.

Labor Day Office Closure

In honor of Labor Day, the Eligibility Center will be closed Monday, September 4. Normal business hours will resume Tuesday, September 5. Have a safe and happy holiday!
