Working with Recruits 

Variety of Tools Provide Insight and Organization

As Division III members look to their spring recruits, a reminder that Eligibility Center offers a number of valuable tools for working with your recruits and their EC accounts.
  • Been a minute since you reviewed a recruit's account, or logged in to the EC's Membership Portal? Click here to refresh yourself with this most important resource.
  • Be sure to activate international recruits enrolling in the winter/spring to your 2023-24 IRL, but add your fall 2024 term enrollees to your 2024-25 IRL. 
  • Use the Track PSA feature within your school's Membership Portal account to track the progress of your recruits' certification. Click here for a quick step-by-step on this valuable feature.
  • Monitor the task list for each international student and work with each student to make sure they are responding to open tasks as soon as possible.
  • If you need to submit a matriculation letter for a recruit, log in to the Membership Portal and click on the Resources tab. The Matriculation Form link is located in the Eligibility Center Forms section of the right-hand column. For more information on the matriculation letter, see the October newsletter. 
  • Students should also review and update their sports participation history. To locate accounts for students who have not entered any information about sports participation, you should use the "Open Tasks Report – Action Required" option in the Additional Reports section of the Membership Portal.

Submission of Academic Documents COVID Policy Sunsetting April 30, 2024

As a reminder, official academic records may be required for amateurism certifications. If only unofficial records are available for students who initially enroll full time in the 2023-24 academic year, they may be submitted to ec-processing@ncaa.org directly from the email address associated with the student’s Eligibility Center account and should include the student’s NCAA ID in the subject line.
Please note: This policy will expire as of April 30, 2024. Starting May 1, 2024, official academic records will be required and must be submitted via an approved channel for domestic or international students.

Troubleshooting Student-Athlete Accounts

Top question the EC staff receives regarding student accounts
  1. Why can't I find my recruits Eligibility Center account for activation to our IRL?  When using the IRL Activation tab, best practice is to only enter the student-athlete's NCAA ID, then select the “All Account Types” option to get the best search results. Students with non-paid Amateurism-Only Certification accounts will not appear in the search results page.
  2. Can a DI/DII transfer use their same Eligibility Center account or should they start a new one for transferring to our Division III school? Students should not create a second account. Their current Eligibility Center certification account is sufficient. Please don't ask your recruits to pay for a second account!
  3. Do grad students need to receive an amateurism certification from the EC? Yes, if their initial DIII enrollment is fall 2023 and beyond.

Webinar Recordings Available

Each year, the Eligibility Center staff provides at least two webinars for each division, including an annual review on the basics of NCAA Eligibility Center amateurism certification requirements for Division III compliance administrators. These one-hour presentations are a great resource to review in order to better understand the amateurism certification process and requirements. Please feel free to share these with other colleagues who may have in interest in compliance or initial-eligibility requirements.

2023 Membership Survey Results

Thank you to the 478 member representatives who responded to the Eligibility Center's 2023 Membership Survey! Our team values your input and evaluates the survey content for opportunities to better serve our membership.

NCAA membership was represented by all three divisions and various roles. Respondents broken down by role and division were as follows:
Results found the majority of respondents were satisfied with their interaction with the EC during the 2022-23 academic season. From the responses received, 86% of respondents stated the EC exceeded or met their expectations during the 2022-23 academic year, as shown below.

Division III-specific Survey Coming

As we continue through our second certification cycle with Division III, the Eligibility Center would like to have more insight into the experience thus far of our Division III membership. A Division III-specific survey will be sent via email in the coming weeks to all Division III contacts listed on their schools' Eligibility Center account. Thank you for taking the time to share more of your experience during our first certification cycle during 2022-23. The EC staff looks forward to continuous improvement and enhanced services for our membership based on these survey results.
