Track PSA Feature Released

New Enhancement Helps Monitor Recruit Account Activity

On June 23, the NCAA Eligibility Center automatically enrolled your member school into the Membership Portal’s Track PSA feature for international students you have activated to your IRL.

This new feature directly notifies your school's primary contact when a new amateurism-related task has been assigned to a recruit's account, a task has been completed or when a student's final amateurism decision has been released. Please make sure your EC Contact list (see directions below) is current and continue working with the EC staff, your students and their high schools of enrollment at your school.

This enhancement is in direct response to feedback received by Division III membership who attended the Eligibility Center's Division III session at Regional Rules in June. Thank you to everyone who attended virtually or in person and offered their support for this new feature. In conjunction with the Division III survey, Regional Rules is one of the places EC staff can learn more about our membership's needs. We look forward to seeing you next year as you make plans to join us in Indianapolis for Regional Rules 2025!

Updating Your School's EC Contacts

With the upcoming academic year approaching, we recognize that many member schools have new staff in their athletics department. As a best practice, the Eligibility Center recommends reviewing the EC contact list within your school's EC account to ensure the contact information is accurate.

All individuals receiving this newsletter should log in to the Membership Portal, navigate to the View/Update Contacts option in the Resources tab’s drop-down menu and review the current contact list. The primary contact on this list will receive real-time notifications about important amateurism-related tasks that may be assigned. The Eligibility Center staff may only interact with member school staff members included on this list. Additionally, this list is used by EC staff to directly engage during our year-round proactive outreach efforts.

Urgent Certification Requests Information

As a reminder from our June newsletter, the Eligibility Center recently enhanced the Membership Portal's urgent certification request feature, which now allows for proactive urgent requests even when the account has not yet reached "ready-to-process" status. Proactive urgent requests may be entered into an account before it reaches a ready-to-process status when you anticipate an urgency before all amateurism tasks have been completed. Once the account is ready-to-process, the proactive urgent request will initiate the urgent review.

As institutional and sports-related deadlines (registration, travel, competition, foreign tours, etc.) draw near, immediate reviews may be necessary. Once the request is made, please monitor the account for additional updates and use Track PSA as necessary.

For situations where an immediate review is needed but the account is not ready to process, we encourage you to reach out to the customer service staff at 877-544-2950 or via email at ecinfo@ncaa.org for further assistance.

Requesting Final Amateurism Certification

As of April 1, international DIII students initially enrolling in the fall 2024 semester became eligible to request their final amateurism certification via their Eligibility Center account. Before making this request, fall 2024 enrollees must select the NCAA enrollment period that reflects initial full-time enrollment at their first NCAA Division I, II or III school.

Currently, over 100,000 eligible student-athletes have yet to request their final amateurism. How many are your recruits?

Please continue using the “Open Tasks Report – Action Required” report to identify accounts with the “Incomplete Sports Participation Response” task to determine if the student needs to update their sports participation questionnaire before requesting final amateurism certification. After making the request, make sure your students promptly respond to newly assigned tasks.

For information on how to check your recruit's certification status, click here to review the April edition of this newsletter.

Submission of Academic Documents

As of May 1, 2024, any official academic records required must be submitted via an approved channel for international student-athletes. Please ensure you are working with your recruits to understand this critical change. The Eligibility Center received almost 200 submissions since May that could not be considered approved documents.
Please note: Academic documents are needed for a DIII amateurism certification ONLY WHEN the task titled "DIII – Academic Documents Needed for Amateurism Certification" is assigned within a student's EC account requesting specific academic documentation.
